Stop Overcomplicating It: The Life Systems You Need (and the Ones You Don’t)

Writer: Michelle MartinezMichelle Martinez

Spoiler alert: You don’t need a 17-step morning routine to have your life together.

Sometimes there’s advice out there that makes Life Systems sound way more complicated than they should be. You can have the color coded planners, the elaborate trackers, and an entire binder or folder just for meal planning. That is a rough one for me 😅 . And if that is your cup of tea, then hey, you are awesome and you got it together in a way that works for you. But if the thought of managing a system feels like another full-time job, let's talk about what actually matters.

The Life Systems That Make the Biggest Difference

Not all systems are created equal 🙂‍↔️. Some truly make life easier, while others feel like just another thing to keep up with. So, the question becomes how do you know which ones are actually worth it?

Here are the three core life systems that can have the biggest impact:

1️⃣ A Daily Flow System – Something that helps you move through your day with less stress. It doesn’t have to be super strict, but just something that help you avoid the, “What was I supposed to be doing again?” 🤔 feeling.

Simple workspace

2️⃣ An Essentials-Only Organization System – Whether it’s your calendar, your home, or your digital files, the key is only organizing what actually matters. If you’re spending more time maintaining the system than using it, it’s probably too much….speaking from experience 🙈.

3️⃣ A Reset System – Life happens. You know, “if it ain’t one thing, it's another” kind of life. But having a simple way to reset with a weekly planning session, a 5-minute nighttime tidy-up or a “get back on track checklist” keeps things from getting out of control.

The Systems You Don’t Need (Unless They Genuinely Help You)

❌ A 30-minute morning routine with 12 steps that stress you the hell out more than they help.

  • Let's keep it to 4-5 steps. Think stretching, hydration, a self-care activity, reviewing the day's priorities.

❌ A productivity planner or tracker, if your brain just doesn't work that way.

  • Just focus on the top three priorities that you would like to complete each day. Just three. If you have time for more, excellent, but don't overdo it.

❌ A meal planning system so detailed that makes you want to order takeout instead.

  • Plan one week at a time (maybe two weeks) on a Sunday or a Monday morning. That's all you need. You don't have to go overboard, focus on what is currently in front of you as you may not even have enough food to help you for the week after or even for the end of the week. This just keep it as simple as possible.

Ultimately, if a system feels like another thing to manage, it’s not the right system for you.

Find What Works, Ditch the Rest

Instead of forcing a system that looks good on paper but doesn’t fit your actual life, start with what already feels easy and build from there. The best system is the one you’ll actually use.
